This Privacy Policy describes how SWAGBOX.COM, SWAGBOX LLC ("SWAGBOX", "swagbox.com", "we", "us", "our") collects, uses, shares, and protects personal information in connection with your use of our websites and services.

Who this covers

This policy applies to:

  • swagbox.com, our public website and online store
  • home.swagbox.com, the customer portal, where account holders manage inventory, redemptions, and orders

It does not apply to our internal employee systems, which are not available to the public.

What information we collect

Information you give us directly

  • Name, email address, phone number, and mailing or shipping address
  • Company name and job title
  • Payment information, when you place an order
  • Artwork, logos, and files you upload for your project
  • Anything you tell us in a live chat, an email, or a support request

Information from live chat. When you use the chat on our website, we store the conversation. That includes the messages themselves and the project details discussed, such as quantity, product interest, budget, timeline, and whether you have artwork ready. If you give us an email address in the chat, we create a customer record and may follow up with you about your project.

Information collected automatically

  • Standard web log data: IP address, browser type, device type, pages viewed, and referring page
  • Cookies and similar technologies, described under "Cookies" below

Information from your orders. Order history, quantities, decoration methods, shipping details, and the status of your production and delivery.

How we use your information

  • To prepare quotes and fulfill your orders

Automated processing and AI

We use AI tools to help operate our business. Specifically, when you use the live chat on our website, your messages are sent to our AI provider (Anthropic) to generate a response and to summarize what you are looking for so the right person can follow up.

We do not use your personal information to train third-party AI models.

A human on our team reviews chat conversations that turn into projects. If you would prefer to speak to a person instead of the chat assistant, just say so in the chat or email us.

How we share information

We do not sell your personal information, and we do not trade it.

We do share it with service providers who help us run the business, and only so they can perform that work for us. These include providers for:

  • Website hosting and infrastructure
  • Our customer database and CRM
  • Live chat and the AI that powers it
  • Website analytics
  • Order management, production, and shipping
  • Email and SMS delivery
  • Payment processing
  • Accounting

We also share information when we are required to by law, when we need to protect our rights or someone's safety, or in connection with a sale or reorganization of our business.

Suppliers and decorators receive what they need to produce and ship your order, such as a shipping address and artwork.

Payment information

Payments are processed by a third-party payment gateway. Full card numbers are not stored on our systems.

Customer portal accounts

If you have an account on home.swagbox.com, we also store the profile details you enter there, your company's inventory and redemption activity, and records of orders you place through the portal. Your account is tied to your company, and the administrators at your company can see the activity of users within their own account.

Cookies

Cookies are small files a website stores in your browser. We use them to:

  • Keep items in your cart and remember your preferences
  • Keep you signed in to your account
  • Keep a live chat conversation going as you move between pages
  • Understand how the site is used, so we can improve it

Our ecommerce platform. Our online store runs on a third-party ecommerce platform. In addition to our own analytics, that platform collects its own usage statistics about visits to our store, into an account it controls rather than one we control.

You can turn cookies off in your browser settings. If you do, some features will not work properly, including your cart and the live chat.

Do Not Track

Some browsers send a "Do Not Track" signal. There is no common industry standard for how to respond to it, and we do not currently change our behavior based on that signal. You can control cookies directly through your browser settings, as described above.

How long we keep information

We keep personal information for as long as we need it for the purpose we collected it, and then for as long as we are required to keep it for legal, tax, and accounting reasons.

How we protect information

Personal information is held in access-controlled systems, available only to people who need it to do their job. Information is encrypted in transit using industry-standard TLS. We review our systems for vulnerabilities on an ongoing basis.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your rights

Depending on where you live, you may have the right to:

  • Ask us to delete it
  • Ask us to stop sending you marketing

Marketing email

We follow the CAN-SPAM Act. That means we:

  • Do not use false or misleading subject lines or sender addresses
  • Include our physical business address in commercial email

  • Include an unsubscribe link in every marketing email

To stop receiving marketing email, use the unsubscribe link in any message, or contact us directly. Transactional messages about an order you placed will still be sent.

You can browse our site without creating an account. Our privacy policy link is available in the footer of every page and includes the word "Privacy". Any changes to this policy will be posted on this page with an updated date.

You can review and change your personal information by signing in to your account, or by contacting us.

Children

Our services are intended for businesses. We do not market to children under 13 and do not knowingly collect their personal information. If you believe a child has given us information, contact us and we will delete it.

Data breaches

If a data breach affects your personal information, we will notify you by email and by a notice on our site, in the timeframe required by applicable law.
